Information for session chairs
This information should be used as a guide to understanding the role of session chair or co-chair:
- If your session suggestion is successful and is included in the call for abstracts, this DOES NOT GUARANTEE that the session will ultimately be included in the conference. Depending on the number of abstracts received, the scientific committee will decide to accept, merge or cancel the session. The call for abstracts will open on 25 November 2011. The deadline for abstract submission is 20 April 2012. The decision of the scientific committee on the final sessions to be included in the programme will be announced at the end of May 2012.
- If a session proposal results in a session at the conference, the session organisers will be invited to chair this session at the meeting. If session proposals are merged, the main chairs from both original sessions will be asked to chair the merged session.
- Session organisers may actively seek abstracts among colleagues. They will be asked to pre-review both the solicited and non-solicited abstracts submitted to the proposed topic, and propose a session programme (including oral and poster presentations) to the scientific committee. The scientific committee, in consultation with the session organisers, will organise the final programme.
- The total number and the quality of the individual abstracts received for a session will define the length of the session. If only a few abstracts are received, the session may be merged with a related topic or, if no other options are available, cancelled.
- There are no exceptions to the delegate fee although chairs and their assistants will qualify for the lower delegate rate. ALL MUST REGISTER for the conference.
- All session proposals and subsequent abstracts MUST be submitted via the water@leeds.ac.uk email address, stating either “WQ2012 session proposal” or “WQ2012 abstract” in the subject line. The deadline for session proposals will be 02 December 2011and the abstract submission deadline will be 20 April 2012.
- In case a session is accepted, session organisers will be asked to perform a review of the abstracts by the end of April 2012 and to organise their session by selecting papers for oral and poster presentations.
- The role of a session chair at the meeting is to give a short introduction at the start of the session, chair the session according the general guidelines (will be available by July 2012) and give a short summary of the presentations at the end of the session.
- Also, you will be asked to provide a short written summary at the end of your session, to be used in the conference proceedings.
- Note that session organisers / chairs are collaborating on a voluntary basis, their efforts are greatly appreciated and will be publicly recognised. The work does not include free registration or any other financial compensation.
